01 · OVERVIEW

Introduction

SoftPro Solutions ("we," "our," or "us") operates the EduPro mobile application (the "App"), an institutional management platform used by schools and colleges to manage students, staff, attendance, examinations, and fees.

EduPro is provided to educational institutions and their students, parents, and staff under an agreement with the institution. The institution acts as the data controller for student, parent, and staff records; SoftPro Solutions acts as a data processor, handling this information on the institution's behalf and instructions.

By using the App, you agree to the collection and use of information as described in this Privacy Policy.

02 · COLLECTION

What we collect

Provided by the institution or entered by users
  • Student information: name, roll number, admission and enrollment details, attendance, examination records, grades, and academic history.
  • Parent or guardian information: name, contact number, email address, and relationship to student.
  • Staff and employee information: name, contact details, role, and attendance or employment records required for institutional operations.
  • Fee and payment records: fee structure, payment history, and outstanding balances.
Account and device information
  • Login credentials, stored in encrypted or hashed form.
  • Device type, operating system version, and app version.
  • Push notification tokens, used solely to deliver notifications to the correct device.

We do not collect or store full payment card or bank account details, location data, contacts, camera or microphone access, or browsing history.
03 · USAGE

How it's used

  • To provide core App functionality: attendance, examination, fee, and academic record management.
  • To display relevant student, parent, or staff information to authorized users.
  • To send notifications related to attendance, examinations, fees, and institutional announcements.
  • To diagnose technical issues, maintain App stability, and improve performance.
  • To provide support when an institution or user contacts us.

We do not use student, parent, or staff data for advertising, profiling, or any purpose unrelated to the institution's educational and administrative operations.

04 · SECURITY

Storage & security

Data is stored on servers managed by SoftPro Solutions or its authorized infrastructure providers, including Firebase, hosted by Google, on behalf of the institution.

We apply reasonable technical and organizational safeguards, including encrypted credential storage, access controls limiting data visibility to authorized roles within each institution, and restricted administrative access to backend systems.

No method of electronic storage is completely secure, and we cannot guarantee absolute security.

05 · RETENTION

Data retention

We retain student, parent, and staff records for as long as the institution maintains an active account with us, or as required to comply with the institution's record-keeping obligations under applicable education regulations.

When an institution terminates its agreement with SoftPro Solutions, data is deleted or returned to the institution within a reasonable period, except where retention is required by law.

06 · NOTIFICATIONS

Push notifications

The App uses Firebase Cloud Messaging (FCM) to deliver notifications, including:

  • Attendance updates
  • Examination updates and results
  • Fee reminders
  • Institutional announcements and other academic communications

Notifications can be disabled at any time through device settings.

07 · THIRD PARTIES

Third-party services

The App relies on the following third-party services to operate:

  • Google Firebase — push notifications, app infrastructure
  • Google Play Services

These providers may process limited technical data, such as device identifiers and notification tokens, as necessary to deliver their services, under their own respective privacy policies. Depending on the provider's infrastructure, this technical data may be processed on servers located outside India.

We do not permit these or any other third party to use institutional data for their own advertising or analytics purposes.

08 · SHARING

Data sharing

We do not sell, rent, or trade personal information to third parties. Information is shared only:

  • With the student's, parent's, or staff member's own educational institution, which controls access within the App.
  • With service providers, such as Firebase, strictly to operate the App, under confidentiality obligations.
  • When required by law, regulation, or valid legal process.
  • To protect the rights, safety, or security of SoftPro Solutions, the institution, or App users.
09 · MINORS

Children's privacy

EduPro is designed for use within a school or college setting and necessarily processes information belonging to students who may be minors. This data is collected and used solely for educational and administrative purposes, under the authority and instruction of the student's educational institution, and is not used for any other purpose, including advertising.

Parents or guardians with questions about their child's data should contact their institution in the first instance, or SoftPro Solutions using the details below.

10 · RIGHTS

Your rights

Users may request the following by contacting their educational institution or SoftPro Solutions directly:

  • Access to their personal information held in the App.
  • Correction of inaccurate or outdated information.
  • Deletion of their information, subject to the institution's record-retention obligations under applicable law.

Because institutions control student, parent, and staff records, some requests may need to be routed through or approved by the relevant institution.

11 · UPDATES

Policy changes

We may update this Privacy Policy periodically to reflect changes in our practices or legal requirements. Updates will be published through the App and at the website below, with the "Last Updated" date revised accordingly. Continued use of the App after changes take effect constitutes acceptance of the revised policy.
